The Advice I Didn’t Understand

(But You Need to Hear)

Hey friend!

When I first started my company, I had a mentor who told me something I didn’t fully understand at the time.

He said, “Processes will set you free.”

At the time, I thought I had processes. My team knew what to do, and we got things done. Everything seemed fine. But looking back, I realize I had no idea what real processes actually meant.

That all changed the day I decided to implement a real project management system. And let me tell you—it wasn’t easy.

 

The Hardest (and Best) Decision I Ever Made

I knew we needed a system to keep things organized, but choosing the right one? That alone took months of research. I tested multiple platforms, compared features, and agonized over which would be the best fit for our business. Finally, we landed on ClickUp. But then came the next challenge—getting it set up properly.

I could have tried to do it myself, but I quickly realized that without expert guidance, I’d probably set it up the wrong way, which would cost us even more time and money in the long run. So, I made another big decision: I hired a professional implementation team to help us customize the system to fit our exact needs.

This was a massive investment—both financially and in time.

⏳ Time: Over a year of setup, customization, and training.

And that was just the beginning. Once ClickUp was customized for our business, we had to:

  • Create templates for every process, breaking tasks into subtasks.
  • Record training videos and step-by-step guides using Scribe to document exactly how to complete each task.
  • Train our team to not only use the system but to trust it as their source of truth.

It was painful. It was frustrating. And there were plenty of moments when I thought, Is this even worth it?

But now? I can confidently say it was one of the best business decisions I’ve ever made.
